Privacy Policy

This website, codifypro.ca (the “Site”), is operated by Codify Solutions (“Codify”, “we”, “us” or “our”), a sole proprietorship based in Montreal, Quebec, Canada. This Privacy Policy explains how we collect, use, disclose and protect personal information when you visit the Site, use our chat assistant, book a call, subscribe to our newsletter or contact us. We handle personal information in accordance with Quebec’s Act respecting the protection of personal information in the private sector (as amended by Law 25), the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL), where applicable.

We collect only the personal information we need for the purposes described below.

• Booking a call: your name, email address, business name, website (optional) and the description of your needs that you provide.
• Chat assistant: the messages you type, and any contact details you choose to share in the conversation.
• Newsletter: your email address and the date and method of your consent.
• Email: your email address and the content of any message you send us.
• Automatically collected: anonymous, aggregated usage data (pages visited, referring site, device type) and your approximate country, used only to display prices in the right currency. This data does not identify you.

We do not knowingly collect sensitive information, and we ask that you do not share it through the Site or the chat assistant.

We use personal information to:

• respond to your questions and requests;
• schedule and prepare for calls, including reviewing a website you share with us;
• send you a summary and quote after a call;
• send you our newsletter, if you subscribed;
• provide, bill and support services under a signed client agreement;
• maintain the security of the Site and comply with our legal obligations.

We do not sell or rent personal information, and we do not use it for purposes other than those listed without your consent, unless permitted or required by law.

By submitting a form, booking a call or using the chat assistant, you consent to the collection and use of your personal information as described in this Policy. Newsletter consent is given by ticking an unticked box and can be withdrawn at any time through the unsubscribe link in every email. You may withdraw your consent to other uses at any time by contacting us, subject to legal or contractual restrictions.

Our chat assistant is powered by an artificial intelligence model. It answers questions about Codify’s services, helps you describe your project and may offer a link to book a call. Based on the conversation, it prepares a short summary and assigns a priority level so that we can respond in the right order. No decision about you is made solely by automated means: a person reviews every request. You may ask us for information about how the summary was prepared and ask that it be corrected. The assistant can make mistakes; prices and commitments are confirmed only in a written quote.

We use trusted service providers to operate the Site and our business. They process personal information only on our behalf and under contractual obligations to protect it. Some of them store or process information outside Quebec, including in the United States, where it may be subject to local laws and accessible to local authorities. Before transferring personal information outside Quebec, we assess whether it will receive adequate protection.

The Site does not use advertising or tracking cookies. We use Cloudflare Web Analytics, which does not use cookies and does not identify individual visitors. Third-party tools embedded on request, such as the booking calendar, may set cookies needed for them to work; they load only when you choose to open them.

• Chat transcripts: deleted after 30 days. The summary and priority level are kept with your request.
• Requests and booking details: kept for 24 months after our last contact if we do not work together, then deleted.
• Newsletter: kept until you unsubscribe; proof of consent is kept as required by law.
• Client records: kept for the duration of the agreement and as long as required for tax and legal purposes.

We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encrypted connections (HTTPS), access limited to the owner, two-factor authentication on our accounts and reputable providers. No method of transmission or storage is completely secure. If a confidentiality incident presents a risk of serious injury, we will notify you and the Commission d’accès à l’information du Québec as required by law.

Subject to applicable law, you have the right to:

• access the personal information we hold about you;
• request that it be corrected if it is inaccurate, incomplete or ambiguous;
• withdraw your consent;
• request that it be deleted, or that we stop disseminating it;
• receive information you provided in a structured, commonly used technological format;
• be informed of the reasons and main factors behind any automated processing.

To exercise these rights, contact us using the details below. We will respond within 30 days. We may need to verify your identity before acting on a request. If you are not satisfied with our response, you may file a complaint with the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada.

The Site and our services are intended for businesses and are not directed to anyone under 18. We do not knowingly collect personal information from minors.

We may update this Policy from time to time. The “Last updated” date at the top shows when it was last changed. Significant changes will be highlighted on the Site.
